From Classic to New Teams: A Detailed Guide to a Smooth Transition

Microsoft is transitioning from classic Teams to New Teams, introducing significant improvements to enhance user experience. CMIT Boston, Newton, Waltham, a trusted Managed Service Provider (MSP) and esteemed Microsoft partner, has reviewed the most important features of New Teams to help your organization understand the changes and how you can benefit from them.

Microsoft began retiring classic Teams on March 31, 2024. The transition timeline for your organization depends on the "Use New Teams Client" policy set in the admin center. Organizations following the Microsoft-controlled New Teams policy will have New Teams automatically installed and set as the default app for users not already using it. After a 14-day period, classic Teams will be uninstalled. For organizations with other policies, these will be overridden, making New Teams the default application, though users can switch between New and Classic Teams for a limited time. Organizations with special tenants, including GCC, GCCH, or DoD, or those using VDI should consult Microsoft’s updated timelines for specific guidance.

Microsoft is implementing New Teams for several key reasons aimed at enhancing user experience and operational efficiency. New Teams installs and loads significantly faster than its predecessor, reducing downtime and enhancing productivity. It is designed to run faster while consuming less CPU power, improving performance and potentially extending hardware lifespan. Additionally, New Teams introduces intuitive features, such as the ability to link multiple accounts, simplifying management and communication across various teams and projects.

To ensure a smooth transition from classic Teams, familiarize yourself with these changes. You can access settings by clicking the three dots in the right-hand corner of the application. If you prefer the classic look, visit the Appearance and Accessibility settings to change your theme to Classic. Microsoft will automatically migrate your default settings from classic Teams, but exploring and adjusting these settings can enhance your workflow. Channels in New Teams display the most updated information at the top, contrasting with the classic Teams layout. You can create regular posts or use the announcement feature for important information. The Channel Details pane now provides quick summaries, including current members and pinned posts, enhancing transparency and accessibility. New Teams introduces several enhancements to chat functionality, including the ability to forward information from one chat to another and send up to a minute-long screen recording. Users can also customize their quick-select reaction emojis, making engagement more personalized. It includes templates for different types of meetings, saving time by setting certain options based on the meeting type. New background options, including animated backdrops and fun filters, enhance the visual experience. Users can create up to three virtual avatars for use during meetings, adding a personalized touch to virtual interactions.

New Teams enhances screen sharing with the option for live annotations, allowing users to annotate alone or enable others to draw on their screen. Although there are some limitations to this feature, Microsoft is expected to roll out new functionality soon. New applications, such as the Meet app and People app, make organizing information from meetings more efficient. The Agenda option allows users to see several weeks of appointments, simplifying schedule management. The Multi-Account Experience allows users to organize work accounts and guest accounts for easy access and tracking. However, presence status and status messages must be manually updated in each account.
